### AI Agents and Your AMS: What Association Executives Need to Know

*By* ***Daniel Elacqua, PMP, MBA***

Not long ago, AI in most associations meant one curious staff member quietly testing a chatbot to draft an email. That moment has passed. Your vendors are building AI into their roadmaps. Your board is asking about it. Your members are already using it in their own work, and they are starting to expect the same speed and convenience when they deal with you.

AI is no longer an experiment sitting off to the side. It is becoming part of how work gets done. And for association leaders, the question has quietly shifted. It's no longer *"Should we use AI?"* It's *"How do we use it strategically and responsibly?"*

Nowhere is that question more important than at the heart of your operations: your AMS. Here is what I believe is coming, and how to start thinking about it now.

### From Assistants to Agents

Most of the AI your team uses today is an **assistant**. You ask it to summarize a report, draft a renewal email, or clean up meeting notes, and it helps you complete that task. You stay in the driver's seat for every step.

An **AI agent** is different. An agent works toward an *outcome*, not just a task. It can access information, make decisions along the way, and potentially take action across your systems.

Think of it this way. An assistant is like a capable intern who does exactly what you hand them. An agent is more like a new staff member you've given a set of keys. That can be enormously valuable. It also means you need to think very carefully about which doors those keys open.

### The Opportunity: Member Service That Never Clocks Out

It's natural to look at agents and immediately think about your AMS. That's where your member data lives, and member service is where so many associations feel stretched thin.

*Imagine instead of…*

*…a member waiting two days for an answer about their membership status, an agent responds in seconds with accurate, personalized information.*

*…a generic event announcement, a member receives a recommendation for the session, course, or resource that fits their career stage and interests.*

*…staff spending their mornings answering the same five questions, your team has time for the conversations that actually require a human.*

That is the promise, and it's a real one. But there is a catch, and it's the most important point in this piece.

### Before You Point an Agent at Your AMS, Fix Your Data

An agent is only as good as the information it's given. If your AMS contains duplicate records, outdated contact information, incomplete profiles, or fields that mean different things to different departments, an agent won't fix that. It will repeat it to your members, instantly and with complete confidence.

Today, a messy record is an internal annoyance. Your staff knows to double-check it. With an agent in the mix, that same messy record becomes a **member-facing problem**. A lapsed member gets told they're in good standing. A member with two records gets two different answers. A recommendation lands for a program they completed three years ago.

Each of those moments chips away at something more valuable than efficiency. If members can't trust the answers your AI provides, you risk eroding their trust in the association itself.

### Decide What Your Agent Can Do

Not every agent needs the same level of access. I encourage leaders to think about agent permissions in three stages:

- **Read.** The agent can look up information and answer questions. Low risk, high learning.
- **Recommend.** The agent can suggest next steps, such as an event, a renewal option, or a resource, while a person decides.
- **Act.** The agent can update records, communicate with members directly, or execute transactions.

Go back to that new staff member with the keys. You wouldn't hand someone signing authority on their first day. You'd let them learn the building, prove their judgment, and earn more responsibility over time. Agents deserve the same discipline.

Not every agent needs permission to change a record or send a message. And wherever an agent can act, governance and human oversight aren't optional. They're what make the whole thing safe to scale.

### Prepare Your AMS, and Your Organization, for What's Next

Let me be clear: your AMS isn't going away. It will remain the system of record for your membership. What will change, possibly dramatically, is *how* staff and members interact with it. Fewer screens and searches. More questions asked in plain language, with answers and actions coming back.

You don't need to have agents running tomorrow to prepare for that future. You can start building the foundation now:

- **Clean, trustworthy data.** Agree on what key fields mean, who owns them, and how they stay accurate.
- **Clear processes and the right connections.** Document how work actually flows today, and make sure your AMS has the APIs and integrations an agent would need to work safely.
- **Permissions and governance.** Decide who and what can see, recommend, and act, and who is accountable when something goes wrong.

One caution as you do this work. Don't simply automate the processes you have today. Some of them exist only because of workarounds built up over years. Make sure a process is worth automating before you hand it to an agent. Otherwise, you'll just get the same friction, faster.

### Final Thought

AI agents are coming to association operations. The organizations that benefit most won't be the ones that move first. They'll be the ones that move ready.

Not just with new tools. With trustworthy data. Not just with automation. With clear boundaries. Not just to serve members faster. To serve them better.

The work you do on your foundation today is what will let you say yes to what's next, with confidence, and with your members' trust intact.
